Reservation Executive

Job Description

The three Reservation Executives will be responsible for managing vehicle reservations while overseeing daily fleet operations and coordinating operational staff. The role ensures efficient vehicle allocation, optimal fleet utilization, and smooth coordination between customers, drivers, and operations teams.

Key Duties & Responsibilities

1. Reservation Management
  • Receive and process customer booking requests
  • Confirm vehicle availability and pricing
  • Prepare rental agreements and booking confirmations
  • Maintain accurate reservation records in the system
2. Fleet Management
  • Monitor vehicle availability and allocation
  • Coordinate vehicle dispatch and returns
  • Track vehicle movement and utilization
  • Ensure vehicles are ready, clean, fueled, and in good condition
  • Report maintenance needs to the relevant department
  • Monitor fleet performance and downtime
3. Operational & Staff Coordination
  • Supervise operational and fleet staff (drivers, dispatch, yard staff)
  • Assign vehicles and drivers based on bookings
  • Ensure operational staff adhere to company policies
  • Monitor punctuality and service delivery standards
  • Address operational issues and escalate where necessary
4. Customer Service & Reporting
  • Handle customer inquiries and resolve complaints
  • Ensure high customer satisfaction
  • Prepare daily and weekly operational reports
  • Support management with fleet performance data

Qualifications & Requirements

  • Bachelor’s Degree (Any recognized University Graduate)
  • Mandatory experience working in a car rental company
  • Strong understanding of fleet operations and vehicle allocation
  • Leadership or staff supervision experience is an added advantage
  • Good computer skills (MS Office, reservation systems)
  • Strong organizational and communication skills
