Job Summary
As a billing clerk, you must be accurate and reliable in handling accounts and documents. Being good at math and a high degree of organizational ability are essential due to the great amount of financial information. The goal is to contribute to the accurate preparation of invoices receivable and safeguard the company’s income.
Key Duties & Responsibilities
- Prepare customers’ invoices daily.
- To ensure EBM receipts against each invoice that is in accounting software and make sure no double invoice on all side being RRA SOFTWARE(Electronic billing machine (EBM) and ACCOUNTING SOFTWARE (this includes reconciliation of VAT output on a monthly basis that has to be ready by 5th of the following month to enable a timely filing into RRA system.
- Review invoices to identify any errors before invoice delivery.
- Compile and maintain documents and records of all billings (AWB for outbound and inbound).
- Improvise existing billing procedures to avoid recurrence of errors.

- Maintain and update customers’ database.
- To record daily cash receipts through Mobile banking and Banks in QuickBooks
- Manage account balances to discover outstanding debts or other inconsistencies
- Collect all information needed to calculate bills receivable (order amounts, discount rates
- Issue invoices and bills and send them to customers through various channels
- Issue customer account statements periodically or whenever necessary
- Answer questions and handle complaints from customers regarding bills
- Report directing supervisor on all issues and what’s needed to improve
- Reconcile client’s accounts
- To produce accurate and updated statements to customers for specific periods
- To report and liaise closely to Finance Manager all issues that clients has with invoices to find solutions
- To manage the debts of all company clients (this involves follow-up and collecting payment from customers, calling, writing emails
- To ensure all cash invoices are paid and banked the following day to avoid loss of company money. and if it is not handed over by receptionist the same day, it must be communicated immediately
- Checking credit ratings and advice to accountants in deciding whether to allow credit to a debtor and advising on credit limits
- To make sure that all company money (cash payment from customers) has been banked in the absence of a bank agent
- To perform any other work related to finance when required (this might include margin report preparations for FREIGHT business and COURIERS business.
Requirement By The Management
A weekly projection of the expected inflows (Every Monday)
- A monthly projection of the expected inflows by 5th of each month
- A weekly report of the accurate debtors (Fridays) (this includes update of all receipts on a weekly
basis to accurate the aged receivable report) - 95% of the credit sales of the previous month should be collected in the current month
