Job Title: HR Officer
Department: Human Resources / Administration
Reports To: HR Manager / General Manager
Job Purpose
The HR Officer will support the effective management of human resources activities, including recruitment, employee records, contracts, attendance, leave administration, employee relations, and compliance with applicable Rwandan employment laws and regulations.
Key Responsibilities
● Support the recruitment and selection process, including preparing job descriptions, advertising vacancies, sourcing candidates, screening applications, scheduling interviews, and coordinating onboarding.
● Prepare employment contracts, amendments, HR letters, and other employee documentation.
● Maintain accurate and up-to-date employee personnel files and HR records.
● Manage employee onboarding and offboarding processes.
● Maintain records of employee attendance, leave, contracts, and other employment information.
● Support payroll preparation by providing accurate information on attendance, leave, new employees, exits, and other employee changes.
● Ensure HR documentation and practices comply with applicable Rwandan labour laws and regulations.
● Assist in handling employee relations matters, grievances, disciplinary processes, and workplace concerns in accordance with company policies and applicable law.
● Support performance management and employee evaluation processes.
● Coordinate employee training, orientation, and development activities.
● Assist in preparing HR reports, staff lists, manpower reports, and other management reports.
● Maintain confidentiality of employee and company information.
● Support the implementation and communication of HR policies, procedures, and staff guidelines.
Qualifications & Experience
● Bachelor’s degree in Human Resources Management, Business Administration, or a related field.
● Previous experience in HR management or human resources administration.
● Practical experience in recruitment, employee contracts, personnel administration, and HR record management.
● Good knowledge of Rwandan labour and employment regulations.
● Good understanding of HR policies and procedures.
● Proficiency in Microsoft Office and HR information systems is an advantage.
● Good communication and interpersonal skills.
● High level of confidentiality, integrity, and professionalism.
